Article 1 - Name of Organization

The name of this organization shall be The Association of Parents for Pilgrim School (TAPPS).

Article II - Purpose

The purpose of this organization shall be to support and promote the mission and policies of Pilgrim School so that our children thrive and flourish at Pilgrim School

Article III - Membership and Dues

Section 1. All parents and guardians of children enrolled at Pilgrim School shall be eligible to be voting members.

Section 2. A yearly membership fee in an amount recommended by TAPPS shall be established by the Board of Governors of Pilgrim School and will be due at the beginning of the school year or as new students enroll during the school year.

Section 3. All Pilgrim School teachers and staff shall be entitled to attend and participate in discussions at general meetings of TAPPS.

Article IV - Officers

Section 1. The elective officers of TAPPS shall consist of a President, one or more Vice Presidents, a Secretary and a Treasurer.

Section 2. Election of Officers
Officers shall be elected annually at the May meeting and shall assume office the day following the close of the current school year.

The nominating Committee shall submit at the regular meeting in April, a slate of officers.

Nominations from the floor shall be made at the April meeting following the report of the Nominating Committee
Voting for officers shall be held at the regular meeting in May. Election results shall be reported at this meeting. The candidate receiving the highest number of votes for each elective office shall be elected.

In the event of a tie, a lot drawn by either the President or a Vice President shall determine the successful candidate. Installation of officers shall be the last order of business at the May meeting.

Section 3. Term of Office. The elected officers shall serve for a term of one year.

Section 4. Vacancies. The Executive Committee shall fill vacancies as they occur.

Section 5. Eligibility. Only parents and guardians of students currently enrolled at Pilgrim School may serve as an elective officer.

Article V - Duties of Officers - Appointed and Elected

Section 1. President: The President shall preside at general and Executive Committee meetings and may serve as an ex-officio member of all committees. The President shall appoint, amend or change members of any committee that may be established with the approval of a majority of the Executive Committee. The President shall have authority to call special meetings of the Executive Committee. The President shall also sign all communications and letters of TAPPS, unless the subject responsibility is delegated to another person or to a committee.

Section 2. Vice President: A vice president shall preside in the absence of the President. The other duties of the Vice President(s) shall be determined by the President.

Section 3. Secretary: The Secretary shall record all the minutes of general and Executive Committee meetings, shall handle all authorized correspondence and shall notify members of all general meetings. The secretary shall be the keeper of the bylaws. The Secretary shall keep a register of the names, addresses, telephone numbers and skills or interests of members that may be utilized by the organization.

Section 4. Treasurer: The Treasurer shall keep a record of all collections and disbursements, and make a written financial report at the first and last meetings of the year or as directed by the President.

Article VI -Executive Committee

Section 1. The Executive Committee shall consist of the officers of TAPPS, the chair of each Committee formed under Article VII, and the immediate past president of TAPPS.

Section 2. The Executive Committee shall transact necessary business between the TAPPS meetings and such other business as may be referred to it by the organization.

Article VII - Committees

Necessary committees shall be determined by the elected officers. Possible committees include but are not limited to a Class Representative Committee, Fundraising Committee, Volunteer Services/Community Programs Committee, By-Law Committee, Nominating Committee and Finance Committee.

Each committee shall execute such duties as the officers of TAPPS may determine. Two-thirds (2/3) of the officers of TAPPS shall have power, at any time, to change the number, members and duties of any such committees, to fill vacancies and to discharge any such committees.

Article VIII - Meetings

Section 1. The general meetings of TAPPS shall be held at least six times during the school year.

Section 2. A quorum shall consist of two-thirds (2/3) of the officers of TAPPS and an equal number of members of TAPPS who are not officers of TAPPS.

Section 3. Meetings shall be held at a location and time to be announced by the Secretary at least one week prior to the meeting.

Article IX - Amending the By-Laws

The by-laws of this organizations may be altered or amended at any regular meeting providing all proposed changes have been presented at one meeting prior to voting. The by-laws may be altered or amended by two-thirds (2/3) votes of the membership present at the meeting.

Article X - Authority

Robert's Rules of Order Newly Revised shall be the guide in the conduct of business where procedure is not stipulated in the by-law.
